ANNUAL GENERAL MEETING

NOTICE IS HEREBY GIVEN that the Annual General Meeting will be held in the club on Monday 25th July 2022 at 8:00pm.

Only Full, Half Life, Honorary & Country members will be entitled to attend and vote.

The Agenda is a follows:

  1. To read the notice convening the meeting
  2. To read and confirm the minutes of the previous Annual General Meeting
  3. To receive and adopt the Balance Sheet and Statement of Accounts for the financial year ended 31st March 2022.
  4. To consider alterations and additions to rules as posted on the notice board and as submitted to the Secretary not later than 20th July 2022.
  5. To consider Notice of Motion as posted on the notice board and as submitted to the Secretary not later than 20th July 2022.
  6. To elect auditors
  7. To elect three Scrutineers.
  8. To elect Officers and committee members.

Any member who wishes to raise items of business must submit a motion in writing to the secretary at least 14 days before the date of the Annual General Meeting. Such notice must state clearly the proposition which it is desired to put to the meeting.

MEMBERS WILL BE ALLOWED TO SUBMIT AMENDMENTS TO SUCH NOTICE OF MOTION at the meeting.

From the commencement of the meeting until the adjournment for the counting of the votes the Bar and Snooker Tables will be closed.

Members are reminded that subscriptions are due 1st April 2022 and subscriptions not paid by 30th April are considered to be in arrears.

NOTICE IS HEREBY GIVEN THAT MEMBERS WHO HAVE NOT PAID THIER SUBSCRIPTIONS BY 30th JUNE 2022 WILL CEASE TO BE MEMBERS.

Balance sheets will be available in the club prior to the AGM.

Nomination lists for vacant officers and Committee members have been posted on the notice board.

Please note that any member unable to attend who wishes to vote by proxy for any proposals or election of officers of the club will need to write to the secretary with their vote prior to the meeting.

2022 AGM Proposed increase in membership costs.

The executive propose the following:

The Executive Committee propose that the cost of membership be increased by £5 from April 2023 and thereafter be increased annually at the rate of inflation determined by HMGOV retail price index (RPI) for all membership types. The incorporation of the RPI index will be at the discretion of the executive committee.

2022 AGM Notice of proposed rule changes

THE Executive Committee have proposed the following rule changes

Rule 20

Existing:

“After 9pm Junior members or any child under the age of 16 and over 12 must be accompanied by a parent or guardian in the clubhouse. However they are not allowed in the snooker room except to use the toilet facilities.”

Rule 20

Proposed:

“After 9pm Junior members or any child under the age of 16 and over 12 must be accompanied by a parent or guardian in the clubhouse who will be held responsible for the behaviour of their children whilst on the premises. The immediate area around the snooker tables is out of bounds”

Rule 22

Existing;

“Children under the age of junior membership (12) must be accompanied by a parent or guardian in the clubhouse at all times and are not allowed in the snooker room after 7pm except to use the toilet facilities or in the clubhouse after 9pm except occasions as agreed by the executive committee. Children under the age of junior membership are not subject to the signing in rule as defined in rule 29.”

Rule 22

Proposed:

“Children under the age of junior membership (12) must be accompanied by a parent or guardian in the clubhouse at all times who will be held responsible for the behaviour of their children whilst on the premises. The immediate area around the snooker tables is out of bounds Children under the age of junior membership are not subject to the signing in rule as defined in rule 29.”

Rule 29

Existing:

A member introducing a visitor shall on every occasion enter the name and address of the visitor and their own name and membership number in the book provided. They shall be responsible for their behaviour whilst on club premises.

No person shall be introduced as a visitor more than six times in the period between 1st April and the following 31st March (ie club financial year).

Proposed:

A member introducing a visitor shall on every occasion enter the name and address of the visitor and their own name in the book provided. They shall be responsible for their behaviour whilst on club premises.

No person shall be introduced as a visitor more than three times in the period between 1st April and the following 31st March (ie club financial year).
